Privacy Policy

1. Overview
StorySeeker is an AI-powered interview coaching tool operated by 2635656 Ontario Inc., operating as StorySeeker ("we," "us," or "our"), a company based in Ontario, Canada. We are committed to protecting the privacy and personal information of our users in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation.
This Privacy Policy explains what personal information we collect, how we use and disclose it, and the choices you have. By using StorySeeker, you consent to the practices described in this policy.
2. Geographic Scope & Regional Notice
StorySeeker is designed for users in North America (Canada and the United States). Users from other regions are welcome to use the service provided their local laws permit it.
Important Notice for European Union / EEA / UK Users
StorySeeker does not currently store or process data within the European Union or European Economic Area. Our data infrastructure is hosted in North America. We do not currently meet the data residency, data processing, or consent requirements of the EU General Data Protection Regulation (GDPR) or the UK GDPR. If you are located in the EU, EEA, or UK, please be aware that by using StorySeeker your personal data will be transferred to and processed in North America. We recommend consulting your local data protection authority if you have concerns about cross-border data transfers.
3. Information We Collect
Account Information: Email address and authentication credentials when you create an account via our authentication provider (Supabase).
Audio & Transcripts: When you use the live interview coaching feature, audio is processed in real-time for transcription and, if you choose, stored on our servers so you can play it back, download it, and share it. Audio recording is optional, and you can turn it off for any interview. Transcripts are stored locally on your device first, then synced to our cloud servers.
Audio Recordings: If you choose to save an interview's audio, the recording is stored on our infrastructure (Cloudflare R2) and associated with your account. You can play it back, download it, or delete it at any time from within the app. Retention depends on your plan: free accounts keep audio for 30 days; paid accounts keep audio for as long as you have an active subscription. We never use your recordings for AI training without explicit opt-in through the voluntary data sharing setting described below.
Video Recordings (StorySeeker Studio): If you host an interview in a StorySeeker Studio room, each participant's camera and microphone are captured on their own device and uploaded to our infrastructure (Cloudflare R2) as a separate video file associated with your account. Before a guest can join, they are shown a statement of what is being recorded, and whether they agreed or declined is stored alongside the recording. Video files are far larger than audio and are kept for a limited window rather than indefinitely. See Data Retention below.
Interview Notes & Analysis: AI-generated coaching suggestions, notes, and post-interview analysis data.
Usage Data: Feature usage counts, session metadata, and technical information (browser type, device type) to enforce plan limits and improve the product.
Payment Information: Billing details are collected and processed directly by Stripe. We do not store your credit card information on our servers.
Feedback & Communications: Any feedback, feature suggestions, or support inquiries you submit to us.
Email Addresses (Waitlist): If you submit your email address through our landing page email capture form, we store your email address to send you product updates and interview tips. You can request removal at any time by contacting us.
4. How We Use Your Information
We use your personal information for the following purposes:
- Providing and operating StorySeeker's core features: real-time transcription, AI coaching suggestions, interview analysis, and account management.
- Processing payments and managing subscriptions.
- Communicating with you about your account, service updates, and responding to inquiries.
- Enforcing usage limits associated with your subscription plan.
- Improving our product and developing new features based on aggregated usage patterns.
We do not sell your personal information to third parties.
5. Staff Access to Your Content
To operate and improve the service, authorized StorySeeker personnel may occasionally access individual account content, including transcripts, audio, and AI-generated outputs, for purposes such as:
- Investigating bugs or technical issues affecting your account.
- Responding to support requests you submit.
- Monitoring service quality, performance, and AI output accuracy.
- Detecting fraud, abuse, or violations of our Terms of Service.
- Diagnosing product behavior to inform service improvements.
Such access is limited to personnel with a legitimate business need and is performed with care for your privacy. This staff access is separate from the Voluntary Data Sharing program described in the next section and does not require your opt-in to that program. We do not access your content for advertising or marketing purposes, and we do not share individual account content with third parties except as required by law or as described elsewhere in this Privacy Policy.
6. Voluntary Data Sharing for Product Improvement
During account creation, you may choose to opt in to sharing your interview transcripts, notes, and analysis data with StorySeeker to help us improve AI accuracy, develop better coaching suggestions, and build new features.
This is entirely voluntary. Opting out does not affect your access to any StorySeeker features. You can change your preference at any time in your Account Settings.
If you opt in, your shared data may be used to train and fine-tune the AI models that power StorySeeker. Shared data is aggregated and de-identified where possible. We will never publicly attribute interview content to you without separate, explicit written consent.
7. AI Processing & Third-Party Services
StorySeeker uses artificial intelligence to provide transcription, coaching suggestions, and interview analysis. Your audio and text data is processed by third-party AI providers as part of delivering these features.
We currently use the following third-party services:
- OpenAI: AI-powered transcription (Whisper) and language processing for coaching suggestions and analysis.
- Supabase: User authentication and account management.
- Cloudflare: Application hosting, data storage, and content delivery.
- Stripe: Payment processing and subscription management.
- LiveKit: Real-time audio and video connectivity for StorySeeker Studio rooms. Used only while a Studio room is open.
- Recall.ai: Joins scheduled video calls (Zoom, Google Meet, Microsoft Teams) as a recording participant to capture audio for transcription, when you use the Virtual Call feature. The bot appears in the participant list, so everyone on the call can see it is there, and it records the audio of all participants, not only yours.
Each third-party service processes your data in accordance with their own privacy policies. We may add or change AI providers in the future (for example, Anthropic) and will update this policy accordingly. Audio data sent to AI providers for transcription is processed in real-time and is not retained by those providers beyond what is necessary to deliver the service, subject to their respective data policies.
8. Analytics & Cookies
We use Plausible Analytics, a privacy-friendly, cookieless analytics service, to understand how visitors use our website. Plausible does not use cookies, does not collect personal data, and does not track users across websites. All data is aggregated and no individual visitors can be identified. For more information, see Plausible's data policy.
StorySeeker does not currently use cookies for tracking or advertising purposes. If we introduce cookie-based tracking in the future, we will update this policy and provide a consent mechanism in accordance with applicable privacy laws.
9. External Links
Our website and application may contain links to third-party websites or services (such as Stripe for billing, or Supabase for authentication). These third-party sites have their own privacy policies, and we are not responsible for their content or privacy practices. We encourage you to review the privacy policies of any third-party service you interact with through StorySeeker.
10. Data Storage & Security
Interview data is stored locally on your device first (browser localStorage) and optionally synced to our cloud infrastructure. Our cloud services are hosted on Cloudflare's global network, with data primarily processed in North America.
We implement reasonable security safeguards including HTTPS encryption for all data in transit, industry-standard JWT-based authentication, and access controls on our infrastructure. However, no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security.
11. Data Retention
We retain your personal information for as long as your account is active or as needed to provide you with our services. You may delete your interview data at any time from within the app. If you close your account, we will delete your personal information within 30 days, except where retention is required by law.
Audio recording retention: If you save audio for an interview, retention depends on your plan. Free accounts: audio is kept for 30 days from upload, after which it is automatically and permanently deleted. Paid accounts (Starter, Pro, Studio): audio is kept for as long as your subscription is active. If you downgrade from a paid plan to free, audio older than 30 days becomes subject to deletion within a short grace period. You can delete any recording at any time from within the app, and we'll show you an in-app warning 7 days and 1 day before any recording is scheduled to expire.
Video recording retention: Video recorded in a StorySeeker Studio room is kept for 180 days (about six months) from the day it is recorded, on every plan, after which it is automatically and permanently deleted. This is a shorter window than the one for audio, on purpose: a video file is roughly sixty times the size of the same interview's audio, and keeping every one of them indefinitely is not something we can promise and keep. The rest of the interview is not affected. The audio, the transcript, your notes and your analysis follow the audio rule above, which on paid plans means they stay in your account.
Every video shows its own countdown in the app from the day it is created, not only as the date approaches, and you can download the original file at any point before it expires. Downloading costs you nothing and there is no limit on it. We recommend downloading video you want to keep soon after the interview, rather than relying on the window.
12. Your Rights
Under PIPEDA and applicable Canadian privacy laws, you have the right to:
- Access the personal information we hold about you.
- Request correction of inaccurate personal information.
- Withdraw consent for the collection, use, or disclosure of your personal information (subject to legal or contractual restrictions).
- Delete your interview data at any time from within the app.
- Request deletion of your account and all associated data.
- Export your transcripts and notes locally at any time.
- Opt out of voluntary data sharing at any time through your Account Settings.
To exercise any of these rights, you may use the in-app settings or contact us at the address below.
13. Children's Privacy
StorySeeker is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from minors who attempt to register as users. If we become aware that we have collected personal information from a minor user, we will take steps to delete it promptly.
Interview Subjects Who Are Minors: Interviews recorded through StorySeeker may include individuals under 18 (for example, family oral history recordings of children, or documentary footage of student participants). It is the sole responsibility of the account holder creating the recording to obtain all legally required parental or guardian consents before recording any minor, in accordance with applicable laws including but not limited to COPPA (United States, under 13), FERPA, SOPIPA (California), and equivalent provincial legislation in Canada. We will delete any content brought to our attention that we have reasonable grounds to believe was recorded without required consents.
14. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of significant changes via email or in-app notification. The "Last updated" date at the top of this policy indicates when it was last revised. Continued use of StorySeeker after changes constitutes acceptance of the updated policy.
